1. Who we are
AskMyHRM B.V. is a Dutch company headquartered in Amsterdam. We are the data controller for visitors to this website. For customer data inside the AskMyHRM platform, we act as the data processor on behalf of the customer organisation.
2. What we collect
Website visitors. We collect basic analytics events (pages visited, browser type, approximate country) and any information you voluntarily provide in our contact form. We do not use third party advertising trackers.
Platform users. We process the personal data your employer configures into the AskMyHRM platform. The scope and lawful basis are defined by your employer and the Data Processing Agreement signed with us.
3. Lawful basis
Website visitor data is processed under GDPR Article 6 (1) (f), our legitimate interest in operating and improving the website. Platform data is processed under the lawful basis chosen by the customer organisation acting as the data controller.
Special category data (AVG Art. 9) — including health data (ziekmelding, Wet Verbetering Poortwachter records), BIG-registratie status, and similar — is processed only when the customer enables it, on documented instruction, with the explicit lawful-basis tagging required by Art. 9(2).
4. Where data lives
Hosted in Azure Sweden Central (EU). Both application data (PostgreSQL, Blob Storage) and AI inference (Azure OpenAI) live in Sweden Central. No data leaves the EEA under standard configuration; Chapter V safeguards apply on customer-requested exceptions.
5. How long we keep it
Website analytics retained for thirteen months. Contact form submissions retained for twenty four months. Platform retention is configured per customer per data category in the AskMyHRM admin console.
6. Your rights
You may request access, correction, deletion, restriction, or portability of your personal data. Email privacy@askmyhrm.com. We respond within thirty days.
7. Contact our DPO
For any privacy related question, contact our Data Protection Officer at dpo@askmyhrm.com.
8. Cookies and analytics
We use first-party analytics to count anonymised page views (no third-party advertising cookies, no cross-site tracking). You can opt out via your browser's do-not-track signal, which we respect.
9. Supervisory authority
You have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Their contact details are available at autoriteitpersoonsgegevens.nl.
